Reservation Readiness
An accepted quote becomes a reservation only once all required guest details are complete. Here is how to see what is still missing on a booking and how to fill the gap yourself.
What "ready" means
A booking is ready when two things are true:
- The guest has accepted the quote — a clear yes to a specific option, dates, and price.
- All required guest details are complete.
Until both are true, the booking will not appear in your PMS or as a reservation anywhere else.
Which details are typically required
The exact list depends on your hotel's setup, but it usually includes:
- The guest's full name, as it should appear on the reservation
- A contact email address
- A phone number, if it was not already captured from the conversation channel
- Confirmed arrival and departure dates
- The number of guests, including children where relevant
Some hotels also require extras such as nationality or an estimated arrival time. If you are unsure what your property requires, ask Brixa's team.
How to see what's missing and help
In most cases the remaining details are collected in the conversation and no staff action is needed. Step in when the guest has gone quiet or when you already have the information from another source:
- Open the conversation in Brixa at app.brixa.ai and review the booking panel for the accepted quote.
- Look at the guest details section — incomplete items are shown so you can see exactly what is still needed.
- If you already have the information (for example, from a phone call), enter it directly so the guest is not asked again.
- If the guest has gone quiet, send a personal follow-up message asking for the remaining details.
