Users and Access
Every person on your team who works in Brixa should have their own account, with access scoped to the hotel or hotels they work for. This article explains how access is granted, why logins must never be shared, and what to do when someone joins or leaves the team.
Your account is personal
Brixa accounts are individual. Each staff member signs in at app.brixa.ai with their own credentials, and their actions — replies sent to guests, quotes created, escalations handled — are tied to their account.
Never share a login, even temporarily. Shared accounts make it impossible to know who replied to a guest or changed a quote, and they create a security risk: if one person's password leaks or someone leaves the team, everyone using that login is affected. If a colleague needs to work in Brixa, they need their own account.
How access is granted
Access to Brixa is managed by your administrator. In practice this means:
- An administrator at your hotel invites you or requests an account for you from Brixa.
- You receive sign-in details or an invitation to set up your account.
- You sign in at app.brixa.ai. If you are new to Brixa, see Accessing and Logging In for a walkthrough of your first sign-in.
You cannot sign yourself up independently — if you need access, ask your administrator.
Access is scoped to your hotel
Your account only sees the hotel or hotels you have been given access to. Conversations, quotes, and settings for other properties are not visible to you. If your responsibilities expand to another property, your administrator can request that it be added to your account.
When someone joins or leaves the team
- New team member: the administrator requests an account for them before their first shift, so they are ready to work from day one. Do not let them borrow a colleague's login in the meantime.
- Departing team member: the administrator should have their access removed promptly. This protects guest data and keeps the account list accurate.
- Role change: if someone's responsibilities change, the administrator can request an update to what their account can see and do.
Password or login problems
If you cannot sign in, your password is not working, or you suspect someone else has used your account, contact your administrator first. They can confirm your account status and, where needed, contact Brixa support to reset credentials or investigate. Do not work around a login problem by using someone else's account.
