Quote Expiry and Follow-Ups

Quotes are valid for a limited time, and the follow-up list helps you nudge quiet guests before that time runs out. This article shows how to send follow-ups, what to do when a quote expires, and when to start fresh instead.

Quotes have a validity period

Prices and availability change, so every quote comes with a validity period. While the quote is valid, the guest can open the link, pick an option, and accept. When the period ends without a decision, the quote's status shows Expired. See Quote Statuses Explained for the full status list.

Using the follow-up list

The follow-up list shows every quote waiting on a guest: quotes that were sent but got no answer, and quotes stuck waiting on missing guest details. Each item shows the guest's name, channel, stay dates, quote value, how long the guest has been silent, and how close check-in is. A suggested reminder message, written in the guest's own language, is prepared for each. To work through the list:

  1. Open the quote to see the full conversation and details.
  2. Review the suggested follow-up message, shown in your language and the guest's, and edit it before it goes out.
  3. Send the follow-up — or skip the quote to remove it from the list without messaging the guest.

Once the guest replies, the quote leaves the follow-up list.

What to do when a quote expires

An expired quote is no longer bookable at the quoted prices, but the conversation stays open — the guest can still write to you, and nothing is lost. If the guest comes back and the request hasn't changed, reopen the quote by editing it. If dates, occupancy, or prices have moved on, send a fresh quote instead.

When to send a fresh quote instead

Reopening works best when nothing has changed. Send a new quote when:
