Quote Statuses Explained
Every quote carries a status that tells you where it stands, from gathering details to a confirmed booking. Use this reference to read any quote at a glance and know what to do next.
Status reference
| Status | What it means for you | What you can do |
|---|---|---|
| Missing Information | Key details (dates, guest count, or required guest data) are missing, so the quote cannot be priced yet. | Wait for the guest's reply, or fill in the details yourself. |
| Awaiting Pricing | Availability and prices are being prepared. | Usually nothing — this resolves on its own. If it lingers, check the conversation for an alert. |
| Options Presented | Bookable room options were shared with the guest, who has not chosen yet. | Answer questions, or edit the booking details if the guest changes the request. |
| No Options Available | Nothing bookable matches the current request. | Suggest different dates or occupancy, then update the booking details. |
| Options Exhausted | The guest asked for more choices but has already seen the best available options. | The options remain valid — help the guest pick one or adjust the request. |
| Ready to Send | An option is chosen and the quote is prepared, waiting for your review. | Review the draft message and send the quote. |
| Sent | The guest received the quote link in the chat. | Monitor for a response, or send a reminder from the follow-up list if the guest goes quiet. |
| Accepted by Guest | The guest accepted the quote from the link. | Check for missing guest data and confirm the booking. |
| Confirmed by Hotel | Your team confirmed the accepted quote — the booking is settled. | Nothing further on the quote; handle the reservation. |
| Rejected by Guest | The guest declined the quote. | Ask what didn't fit; send a revised quote if there's still interest. |
| Expired | The validity period passed without a decision. | Edit it to reopen, or send a fresh quote. |
| Lapsed | The quote was closed on the hotel's side without being completed. | Start a new quote if the guest is still interested. |
| Cancelled | Your team cancelled the quote. | Nothing — send a new quote to restart. |
Staying on top of status changes
You receive an email when a quote needs your attention — for example when a guest accepts or rejects it, or when it expires. See what happens after a guest accepts for the steps to take on an acceptance, and Quote Expiry and Follow-Ups for reminding guests who go quiet.
