Your Brixa Onboarding Guide

This guide takes your hotel from a brand-new Brixa account to live guest conversations: sign in, connect your PMS and messaging channels, add the chat to your website, and enter the content guests will ask about.

Before you begin

Brixa's team creates your hotel and your administrator account when you join. Sign in at app.brixa.ai with the credentials you received — Accessing and Logging In walks through the first sign-in and a tour of the workspace. Then have your administrator request accounts for everyone who will work in Brixa, so the team is ready before guests start writing; see Users and Access.

The steps below are the recommended order, but they are independent — you can connect channels while content is still being written, and you can go live with one channel before the others are ready.

Step 1: Connect your PMS

Connecting your property management system lets Brixa quote from your live availability, and — when you choose to enable it — place accepted bookings in your PMS automatically. Setup is done together with Brixa's team: tell them which PMS your hotel uses, and they will guide you through requesting the right access from your PMS provider and complete the connection for you. Connecting the PMS early also saves content work later: your room types are brought in from the PMS, along with their descriptions and photos where available. Step 2: Connect WhatsApp

WhatsApp is where most hotels see the highest guest volume. To get connected, have ready the phone number guests will use to message your hotel, then complete the connection together with Brixa's team — they will guide you through the authorization. Once connected, every WhatsApp message lands in your Brixa inbox, and your team replies from there rather than from a phone.

Step 3: Connect Instagram

Guests who find your hotel on Instagram can start a conversation by direct message. To connect, have your hotel's Instagram account details ready and complete the connection with Brixa's team, the same way as WhatsApp. Once live, Instagram conversations appear in the same inbox as everything else — if the same guest writes on both channels, you will see one conversation per channel.

Step 4: Add Brixa Concierge to your website

Brixa Assistant lets guests chat with your hotel directly from your website, and those conversations join the same inbox. This one is self-service, in three parts:

  1. Read Website Concierge Overview and prepare your website addresses and guest-facing wording.
  2. Enable and configure it in SalesBrixa Concierge: Configure the Website Concierge.
  3. Add the installation snippet to your website and test it: Install the Website Concierge on Your Website. You may need the person who manages your website for this part.

Step 5: Enter your content

Guest answers and quotes are built from what your team saves in Brixa — this step determines how good the answers are, so give it real attention. Work through the three setup areas:

When in doubt, write for the guest: read every description as a guest would and ask whether it answers the question on its own.

Step 6: Test, then go live

Before announcing anything to guests, run a quick end-to-end check:
